Shift handover should transfer an operating picture, not a diary

A long shift log can still omit the information the next team needs. Manufacturers should organise handover around equipment state, product status and pending decisions, with time for the incoming team to cross-check understanding.

A shift log can record everything that happened and still leave the incoming team unsure what it should do next. Effective handover transfers an operating picture: equipment condition, product status, work in progress and the decisions still pending. The process needs preparation, exchange and confirmation, so that responsibility moves with enough information for the next team to act.

Organise information around the next shift's work

Identify what incoming staff need to know to operate the plant and manage outstanding tasks. Highlight changed conditions, restrictions and unresolved issues. Keep routine history available without letting it obscure the immediate operating picture. A concise structured view can be more useful than a long chronological diary with the important decision buried near the end.

Make product status explicit. Identify holds, rework, revision transitions and unusual inspection requirements that remain active. Ensure the physical material and the records tell the same story. The incoming team should not have to reconstruct a quality decision from informal messages or infer status from where a container was placed.

Preserve equipment and maintenance boundaries

Communicate the state of work that is incomplete or affects normal operation. Record the relevant responsibilities and approved restrictions through the plant's maintenance and safety arrangements. The handover should make those boundaries understandable; it should not become an informal substitute for the control processes governing the work.

HSE's handover guidance identifies preparation, information exchange and cross-checking as essential elements. Apply that structure to the manufacturing operation. Give outgoing staff time to prepare a reliable account and incoming staff a route to question it, particularly when equipment condition or planned work is unusual.

Make exchange an active task

Use the communication method appropriate to the operating context, including direct discussion and written information where needed. Allow questions and clarification. A signed acknowledgement can record that a handover occurred without proving that both teams understood the relevant condition. Ask the incoming team to explain critical pending actions or boundaries where that supports clear understanding.

Check that records are accessible and current at the handover point. A useful display can still be misleading if a late intervention has not been entered. Establish who updates the record when the situation changes after preparation. The operating picture should reflect the state being transferred, rather than the state at the beginning of the final reporting period.

Learn from repeated omissions

Review misunderstandings and missing information without treating every event as an individual memory failure. Examine the structure of the log, time available and whether the team knows which information matters. A recurring omission may reveal a weak interface between production and maintenance or a status that the system does not represent clearly.

Include users when changing the handover format and test it during ordinary shifts. Keep the process proportionate while giving higher-risk or complex transitions the attention they need. A successful handover leaves the next team knowing the operating state, the limits on its actions and the decisions it must complete.
